PLANMECA PRIVACY NOTICE ON PERSONAL DATA PROCESSED IN CAMERA SURVEILLANCE

Planmeca takes care of the safety of its employees and visitors to the property through camera surveillance when other means to ensure safety are inappropriate.

This privacy notice describes how Planmeca Group (hereinafter “Planmeca”) collects, manages and protects your personal data in connection with camera surveillance. This privacy notice is addressed to Planmeca's personnel and persons working and visiting Planmeca properties in Helsinki, Finland.

This privacy notice describes how Planmeca processes personal data as a controller.

PURPOSE AND LEGAL BASIS OF THE DATA PROCESSING

Camera surveillance records persons moving about in camera-controlled facilities as personal data in the form of video images. The video material is not intended to identify the persons recorded, except when the video material is needed in connection with an offence, theft or other typically safety-related event; in which case persons may need to be sought and identified with regard to the video material. Personal data collected under camera surveillance is used to:

  • detect outsiders and prevent them from moving about in closed spaces
  • prevent and detect theft of Planmeca-owned devices, equipment and software when the amount of financial damage is significant
  • prevent personal injury or injury caused by automatically operating machines
  • monitor the automated testing of medical devices, in which case the positioning and operation of cameras is planned so that employees or other persons in the area are not recorded on video unnecessarily.

Planmeca processes personal data only if there is a legal basis for it. The legal basis depends on the personal data concerned and the specific circumstances under which they are processed.

Planmeca processes personal data collected under camera surveillance on the basis of a legitimate interest. In some cases, personal data may be processed on the basis of voluntary consent. When material stored under camera surveillance is handed over to the police authorities, the processing is carried out on the basis of law. When processing is based on a legitimate interest in accordance with Article 6 of the GDPR, we carefully assess that such processing is compatible with the data subject's rights.

PERSONAL DATA GROUPS TO BE PROCESSED

In camera surveillance, Planmeca processes the following personal data groups:

  1. video and image material of registrants
  2. name and location of the recorded person when there is a need to establish the identity of the person recorded from the video or image material.

Planmeca receives video and image material only from its own systems.

RETENTION PERIOD

Planmeca will store personal data only for as long as necessary to fulfil the purposes described in this privacy notice, mandatory legal requirements, or a legal claim.

Planmeca regularly assesses the necessity of camera surveillance and the need to store the personal data generated in connection with it, as well as the legal basis for processing in accordance with its internal operating instructions, but at least once a year. In addition, Planmeca will conduct all reasonable measures to ensure that, considering the purpose of the processing, all inaccurate, incorrect or obsolete personal data will be erased or rectified without delays.

TRANSFER AND PROCESSING OF DATA OUTSIDE THE EU/EEA

Planmeca will not transfer the personal data described in this privacy notice outside the EU/EEA.

In some cases, Planmeca may share personal data with its group companies located in Helsinki, Finland. Planmeca may also transfer personal data to its subcontractors who process the data on Planmeca's behalf, for example in the operation, maintenance and support functions of IT systems. Planmeca will only disclose information to the executing authorities if required by legal requirements.

Planmeca maintains appropriate and adequate organisational, technical and physical safeguards to protect personal data disclosed to Planmeca against unlawful or unauthorised destruction, alteration, use or disclosure, or loss. Only authorised persons have access to the personal data held by Planmeca. Their access to the data is strictly based on the need for access.
